The Value of the Popup and Dashboard?

As some of you have noticed, in the redesign of 3.0.22.x we removed the ‘Dashboard’ and ‘Label / Search Popup Browser’ from the sidebar.

The reason was simple, the popup had fallen behind all the other features and was becoming clunky, especially compared to just using Gmail’s native search. Due to the complexity (time required) of maintaining it, we trimmed it while we decided what could be improved with it.

It’s also interesting that so few people noticed its disappearance, signaling that we were underperforming with it (i.e. it was not well designed).

Personally, I broke the pro’s and con’s into the following:

Pros

  • You could see search results, and preview conversations, without stopping what you were doing in Gmail.
  • It was fast because it pre-loaded all action messages (but Gmail has become fast anyway).

Cons

  • The popup interface was hard to read, and hard to use. It was easier to use Gmail’s native search from GTDInbox’s sidebar. This was partly due to the colours we used, and partly due to the fact that the list of conversations occupied too much vertical space (2 lines for a row instead of one).
  • The ability to group messages by Project and Contact was a nice idea, but was too clunky to be useful in practice. More seriously, it required all messages to be downloaded in order to work (rather than just the most recent 20 messages), which was slow.

My question then, for those who liked it, is what did you like about it? Why did you use it? What made it better than just searching in Gmail?

Once we better understand how you valued it, we can redesign it to be much more useful, or make more improvements to normal Gmail search.

    I don’t care for the ‘Label / Search Popup Browser’, but I find the Dashboard/Overview pretty handy because it makes toggling between my Statuses and, therefore, comparing my To Do tasks without having to close/reopen a GTDInbox window VERY convenient. This isn’t possible any other way. Also, the Dashboard popup gives a great overview of what I have to tackle. I -could- just right click on a pinned status, and go from there, but the convenience of seeing all To Do tasks at the get-go is worthwhile.

    It’d be great if I could pull up the Dashboard popup by right clicking on the GTDInbox sidebar logo (which was what I’d been expecting, provided common sense and all… yes, I stupidly right-clicked for all of a minute before realizing that it wasn’t the computer that was frozen, but my brain.)

    Hopefully that made some sense (and made for a convincing argument for the next release)?

    I am one of those that did not notice the Popup and Dashboard were gone. I use GMail’s Multiple Inboxes to give me a good overview of my tasks.

    The one thing I would like to see in the drill down is a option to select all status or any status other than Finished. I can do it now by using the “Search Within” and entering “-label:s-finished”. My preferred option would be when I click on a project, to have it display all items except Finished instead of everything. Maybe this could be a user setting?

    Please keep the dashboard alive — this blog post finally showed me the proper way of reviewing tasks!
    As for the preview popup — I love that, too, for two reasons:
    – When I review tasks, the preview popup is the natural tool to look into them deeper than what I see in the dashboard, and…
    – when I go through my Inbox in the morning, I love to have the list of conversations visible to watch my progress.

    As you mentioned, the preview popup might benefit from some improvements. Basically, I’d like it to have the same GTDInbox features as the GMail conversation display has.
    Also, it would be great if the preview popup could be resized, or at least somehow adapted itself to the shape and size of my browser window (I’m using my monitor in portrait shape, taller than wide..).

    Why not let GMail do all the searching. Especially now that GMail and GTDInBox support folded hierarchies would it be possible to use labels to encourage GMail to keep track of dashboard content details and GTDInbox just concentrate on the interface? Or is there no way to access the summary information without the local copy and calculating it locally? I’m very impressed with what was done with scheduling. Hate to loose the overview with drill down. Now for some sleep.

    I would love to have the Overview popup back; if not with any new features, just like as it was before. It was very convenient to just open the popup, select the Status & Context, and what I need to do is right there, organised by project. For me it represented the maturing of THE key feature of GTDInbox. I did not see any more see the need for saved searches once the popup had matured.

    And now it’s gone :( I seriously thought you removed it to make it a Plus feature (which would an excellent strategic move in terms of product differentiation, but too bad for me since I dont plan to upgrade to Plus anytime soon).

    I never liked the pop-ups myself. I use GTDInbox + GMail’s Multiple Inboxes to show my Inbox on top, Next Actions next, then Waiting On at the bottom, which has worked really well for me.

    One thing to take from this is that you may benefit from adding some anonymous usage statistics to see how users are actually using GTDInbox.

    I agree with the other comment about the removing the “Finished” tasks by default when you select a Context or Project from the left. I rely upon that all the time and miss that :-)

    I didn’t notice it and I have never used the dashboard. I created http://gtdinbox.uservoice.com/forums/17178-features-requests-and-bug-reports/suggestions/300371-drop-dashboard which only has 3 votes (1 is mine).

    Now it seems that only a few people had been using it and all the others didn’t realize the time spent on dashboard development and maintenance could be used to improve more usable features.

    I whole-heartedly agree with Narasimhan’s comment. No need to develop the Overview popup more; its very presence is enough.

    Agree with the above comments about excluding Finished items from project and context drill downs or somehow adding a toggle between All Statuses and All Active

    I’m trying to implement the David Allen GTD approach for everything in my busy life, not just email. So, I need an efficient way to do a weekly review. I have never experienced the Dashboard, and I cannot find a way in the current version (3.0.22.10) to quickly go through the projects and sub-projects one by one. Right now it seems my best option is to have one browser tab open on Gmail’s “manage labels” and right click on the project labels to open in a new tab. But the load time of a new page is quite long. The pop-out menu in the left hand box for projects is pretty useless as I need to cope with 200 or more projects and it will take too long to keep opening it and scrolling to the next project. The review would take vastly longer than the two hours recommended by David Allen!

    During the weekly review I plan to work through the projects in priority order, in case I run out of time to review them all. This will not be alphabetic order or chronological order or even based on level of activity of the project. A really useful feature would be to drag and drop the projects into priority order (I know that’s not the David Allen way necessarily). Or they could be sorted based on an entered numerical value that is remembered. I’d also like to be able to store estimates of how much time each project is expected to take.

    A further very useful feature would be to email myself new projects and tasks from my mobile – when I’m out and about or at night. This could be done by auto-creating email addresses and filters (using the gmail “+” operator) corresponding to each project/subproject. I use Google/Symbian’s contacts sync so any new Google contacts appear on my phone sharpish.

    I have spent an incredible amount of time trying to make David Allen’s system work for me in Gmail and have done a lot of my own scripting to try make it happen. Now I see you are releasing a paid-for version I am happy GTDInbox should be here for the long-haul so I’m moving over to you. Please feel free to contact me for more requirements as I have worked on this long and hard and would be delighted to help you make GTDInbox incredibly productive.

    Currently, without the dashboard, there is no easy way to scan through tasks, project by project.
    this is critical for both for a daily review as well as a more detailed weekly review.
    Currently I can either see a specific project or all the project but no easy way for scanning.
    when scanning, my goal is to decide quickly if I need to change status or to create new tasks. so the dashboard is quite adequate for that purpose.
    I would definitely like to see the dashboard continued.
