Introducing ActiveInbox (the new GTDInbox)

A word on the radio silence

If you’re observant you will have noticed that we tweeted more than two weeks ago that this release was “just a day away”; it turns out exuberant optimism was mocking (and possibly cursing) us. I’ve virtually worked around the clock since then, and we are still not quite there, but enough is enough and it’s time to open the kimono.

Before we go any further, please bear in mind this is not yet public. It’s a preview for the blog – for you – and if there’s any thoughts or opinions you have, please let me know (good or bad), and we can factor them in very quickly.

The New Name

Late last year you gave us a sackful – two sackfuls – of wonderful suggestions for a new name, inspired by the great fear that the benevolent beast of GTD might one day stamp on us for using its name. Despite ranging from the fanciful to the downright bizarre, we ended up going with a fairly straight replacement: ActiveInbox.

The one thing that matters is…. the name change does not signal anything uncomfortable. The basic feature set will remain exactly the same, Plus users will glide effortlessly to the new name/website, and the essential purpose is still to use GTD concepts to manage email.

It simply means we can tell the world about what we’re doing.

The New Website

Naturally, with a new name there is a new website. This is the work of Pete and it looks amazing.

The website (http://www.activeinboxhq.com) has all new text, and most importantly, a new Workflow page (http://www.activeinboxhq.com/better_email.html).

It is isn’t finished yet, we’ve still got to move over the blog (which is still working on gtdinbox.com).

New Features

As long-term GTDInbox users, I think you will spot the improvements very quickly. Therefore I will be brief!

Upgraded Reviews Sidebar
You requested we restore the one-click ability to see all Active items (all Status/deadline emails in a project/context); and so we have. Also, as many of you asked for it, we’ve reintroduced the exclusion of all S/Finished emails from the search results. We’ve also cleaned up the UI so it feels more sturdy.

New Conversation Sidebar and Horizontal Action Bar
Our goal with the conversation view was to make it tidier and easier to spot, at a glance, what is going on with a conversation (its status, its schedule, its category). And to make it easier to expand in the future with new functionality.

Pinning Labels for Fast Processing
Amongst the new functionality is the ability to ‘pin’ labels to the UI for rapid selection. This is very useful for processing, where you might be focused on, or experiencing a lot of email around, a small set of projects or contexts at any given time.

The Preview popup in the inbox has been given a visual overhaul.

New ‘File’ Button in the header
And, in the Inbox, search results, and conversations there is a new ‘File’ button in the header; for easy GTD status/project/schedule filing.

New ‘Related Items’ and ‘Previous Emails’
The big, BIG new addition is Related Items. When in a conversation, you can click the button in the Conversation Sidebar to see all emails related to the one you are viewing, including outstanding actions and exchanged files.

It works by showing you all emails associated with the current contact and/or labels (e.g. project).

As a side thought, it is also interesting at a high level, because it lets you see the connections between emails (“across” emails), rather than just looking down from your archive or inbox.

With equal utility, you can now see “Previous Emails” (another kind of related emails) when you write a reply or compose a new email; so that you can see recent discussions to make small talk or check on progress, see if you have any history whatsoever (if you have lots of incoming email) and check there are no outstanding actions you have forgotten to do.

Improved “Send and File” and New “Label Suggestions”
For Plus users, the “Send and…” button has been overhauled to “Send and File” with a cleaner UI, so that every time you send an email or a reply, you can update the status with ease, keeping the system accurate at all times. And, there is a new ‘Label Suggestions’ feature that suggests categorization automatically for a new conversation (using previous labels for a contact, and text in the conversation itself – we are still refining this!).

A Quick Note About the Status Button Updates…

You will notice the biggest change is that we have removed the “Horizontal Action Bar” (the one with the blue Status buttons in the conversation view).

This is possibly a little controversial, but we do believe the new UI is the right direction. It’s cleaner and can be expanded more in the future. However, it does add more clicks in certain cases.

We’re very much listening on this, and I think we have a way to go to get it exactly right.

In the meantime, the existing buttons are still available from the Preferences, by checking the checkbox “Classic Horizontal Action Bar in Conversations” and reloading Gmail. But, please do not do this until you have given the new UI a chance! And if you do go back, let us know why in the new community forum.

How to revert to the old Status Buttons

New Focus

For the last month and a half we’ve been dedicating all our (still limited!) resources to getting to this milestone; so that we can reduce our mental/work clutter and focus on just a single product and its improvements. Now we have reached the milestone, we are restructuring to dedicate the majority of our time on support – to be support heavy – and next we will be expanding the team to increase development capacity for new features.

At the heart of this change of direction is our new Community Forum. This is designed to replace the existing forum (which was riddled with spam), UserVoice (which was useful but limited in what it could do) and to an extent, email (which is wonderful, but not effective for group discussion and helping lots of people at once!).

One Last Thing

Thank you! Your support has been the only thing that has enabled us to keep updating and evolving ActiveInbox (and GTDInbox before it). I am deeply humbled by it all, and I’m very excited about what we can do this year (and beyond!) with the momentum you have given us.

    Great job! I have to say, I was getting a little frustrated with some of the issues in the last few updates, but you’ve (once again) pull through. In one click after install, I saw that you corrected a major frustration, long and nested label names. Looking really sharp now! Thanks!

    Thank you DC, we do wobble sometimes with updates – and it causes me a great deal of personal concern when it happens – but we’re adding in the processes to make development and releases smoother, especially as we continue to grow!

    The only thing is you can’t hit tab and select ‘Send and File’ after typing your message, it doesn’t get highlighted by the tab.

    I very much appreciate the tone, but I suspect we still have a way to go before we – or anyone else – is truly satisfied with ActiveInbox and their email… there’s always more to do! We’re getting there though!

    Also, it would be nice to have the ability to manage what happens when you click one of the status buttons on the righthand bar. For example, when I click ‘Finish’ or ‘Archive’, I want to go back to my inbox automatically. Just like when you click the standard ‘Archive’ button on the default gmail interface.

    Sorry to keep making new comments about requests, I’m kind of coming along things I’d like to see while I use the new version.

    It would also be nice if there were an option available to combine the ‘Next’ status with the ‘Today’ schedule.

    For me, I use scheduling, but it’s redundant to mark an email with the ‘Next’ status, as well as the ‘Today’ schedule.

    Your new website defaults to a plain text downloads and the XPI displays garbage instead of installing. Easy enough to fix with a right-click, but also an easy fix on the server end – make sure .xpi files are seen as binary.

    Hi, guys. I’ve just finished installing the new ActiveInbox. I liked most of the changes and improvements you’ve made, graphical and functional, BUT one.

    You know, I loved the rounded buttons in the opened message for changing the status in GTDInbox, because with one click you could update the status very fast. Now, with the menu, I need two clicks for every update (one for displaying the options and another to select the proper one). Could you please go backwards with this feature?

    Also, I loved having context, project, reference, and label in separated buttons at the next line, because it keeps the spirit of Inbox Zero (I mean, having a few options for each decision). I work as a business consultant and instructor, so I have a lot of contexts, projects, and references alive, and grouping them all together makes a really big – and messy – list.

    Apart from this, I use your “contexts” for grouping messages by people I deal with: personal, family, clients (one for each), partners (one for each), or institutes (one for each). So I think I would appreciate a new button.

    In the meantime, I created the label “S/Read review” for those emails that I are not reference materials, but are still not actionable either. I was happy to see that GTDInbox recognized it and drew the corresponding button

    You know what would be great? That we could create our own new dimensions for grouping with your program (like I did with people, maybe a “P/” label or something like that).

    This update is truly awesome. Just wanted to publicly thank you for the quick fixes and your willingness to work with the users to add options or work on bugs that we are experiencing. Especially, when it seems to be only affecting a small percentage of the user base. I am not sure if I will ever use all the features of ActiveInbox but the ones that I do use I can not live without. The best $25 I spent.

    Andy you and your team remind me a lot of C.E. Stuart Dewar the maker of Datebk 3 – 6 for the palm programmer. As a single programmer shop he was always more responsive and offered a better product then the big name companies that offered “inferior” products.. You are following in the same path. Thank you for the great work that you do.

    Bug: Unchecking the box for “‘Send and File’ button when compose/reply to ensure correct categorization” doesn’t seem to work. I have it unchecked, and the ‘Send and File’ button still comes up

    Quick question. Will ActiveInBox replace GTDInbox, or do we need to remove GTDInbox first?

    Another question or two. Will we ever get back the automatic action “Archive” when we click “Finished”? I still believe in the least number of clicks to clear out the inbox. Thus, click finish should also auto-archive the message and move on to the next message. Likewise, it would be helpful to have a move to next function when clicking on the delete button (for example when I get those pesky emails from politicians that are nice to read but I have no desire to keep).

    Thank you for the detailed insight into how you use ActiveInbox – I honestly love to hear it, as it guides so much of the development work.

    Certainly we took a bit of a gamble with the new Status UI, and I wanted to make a bold step to see if a new approach could work better. But we weren’t reckless! The fear of adding an extra click was considerable, and so we’ve made it possible to revert to the old interface. In Preferences (in the left-hand sidebar box), check the ‘Classic Horizontal Action Bar in Conversations’ line and restart Gmail, you should get the old style back (you will probably also want to uncheck the new ‘Horizontal Action Bar in Conversations’ line).

    I believe you’re right, that the buttons had their purpose for rapid selection. Pete & I will work at this tomorrow, and blog about it later in the week to get everyone’s feedback. Ideally some combination of the new interface and old, that is quite customizable for individual user’s needs.

    Speaking of customizable… I have good news for you :) You can create your own ‘Label Category’ now, using the Preferences screen. You need to click ‘Add Category’, then enter a name (e.g. ‘Customers’) then a prefix (e.g. ‘Cu/’). But you might not need to – I know that Pete uses exactly the same technique as you, giving each VIP contact their own Context (e.g. C/Bob Smith) and setting up a filter to auto add that label to that contact’s emails. It works well.

    Hi Robert,

    In Plus there is a dedicated ‘Finish’ button that lets you ‘Finish & Move Next’ or ‘Finish and return to the inbox’, that should archive it automatically. If that’s not happening then we have a bug – please let me know. In the normal version, behind the scenes, S/Finished is just treated like any other Status label, and thus will remove other statuses, but is not programmed to archive it.

    As for removing GTDInbox first, I would do. Technically you shouldn’t have to, but it only takes a minute and it’ll remove any doubt!

    Thank you Michael, really, this is such a wonderful comment. For anyone who doesn’t know, we (all!) owe Michael a big debt of gratitude. He is the ‘canary in the mine’, so to speak, often receiving Gmail updates before anyone else (including us!), and his trust – not to mention his diagnosis ability – in letting us experiment with his setup to get things fixed means we can often have ActiveInbox patched up before the majority of people notice there is a problem.

    Wrt to the ‘Finish/Archive and Move’ button, officially, it should go back to your inbox if you click the main part of the button; and move if you click one of the arrows. (The only time this fails is if you load Gmail directly into a message, and that’s because of a glitch in Gmail where you cannot move ‘newer’/’older’).

    Do Plus users of GTDInbox get access to the Plus version of ActiveInbox? I don’t see any way to do so. It seems strange that I would be asked to pay again since it was only in February when I first signed up for a Plus account.

    Don’t worry! Plus is designed to carry over to ActiveInbox (essentially, ActiveInbox is simply the new name of GTDInbox). If you use Firefox, you might find it’s simply continued to be registered for Plus. If you use Chrome, it is possible that your settings have been reset for ActiveInbox/GTDInbox.

    In which case, in the left hand ActiveInbox sidebar, if it’s unregistered, you should see a ‘Register Plus’ button (in the ‘About’ section), which will accept your old GTDInbox Account password. You can see screenshots of this in http://www.activeinboxhq.com/account/install_instructions.php .

    It is better now, but the link takes me to the chrome version download page.
    I have changed the extension to .xpi and it works now.

    Somehow, I have the feeling that the Chrome version looks nicer.

    Really like the progress on Active Inbox in general… :)

    Now, some feedback on the new UI… I’m not really happy with the buttons being replaced with menus… To me, it is a quite a big difference to be able to just click ones compared to having to interact with a drop down menu… It’s not just one click more but also some additional scanning and mouse selection… Also, a related point that I haven’t seen mentioned elsewhere in the benefit of having your options directly visible at first glance… This essentially relieves your mind of having to keep the possible statuses etc in mind or having to click the menu to see them and I think this makes a difference from a GTD/HCI point of view to be able to focus on what you’re doing and not really have to think about your categorization… To illustrate, I actually wish for one _more_ button, corresponding to a task I often do, and that is to schedule an email to “next week/Monday”, and I do miss the “in two days” button… :) Perhaps a focus on buttons for the most common actions by configuration or some dynamic algorithm would be one way forward…

    A slightly related remark is that the Finish popup tends to popup when I don’t want it to and get in the way… This became quite noticeable now with the drop-down-menus requiring more interaction… I often have a more narrow browser window which puts the Finish popup below the others…

    You’ve pretty much nailed most of the drawbacks with the new approach… and I will factor it all into the future design. We’re striving for a balance between the cleanness of the new UI and the one-click nature of the old one.

    In the meantime, you can revert to the classic Horizontal Action Bar, by loading the Preferences and checking “Classic Horizontal Action Bar in Conversations” (and unchecking “Horizontal Action Bar in Conversations”). Hope that is okay for now!

    Yeah, I agree with Daniel. While I love a minimalist style (and like the new clean look), I’d love to be able to pin statuses and categories to the righthand side bar (just like the shortcuts for archive, finish, etc).

    I know I said this earlier but wanted to make sure you saw it :)

    I just had this thought though … I really like the pinning feature you’ve introduced recently… How about having the statues and scheduling dates in the new menus pinnable and the show the pinned menu-entries as one-click buttons? If I could have that I think I would keep the menus in the sidebar and pin the entries I use most to get them as horizontal buttons… Yes, I would like to try that! ;)

    The new consolidated “Status Button” drop-down style has my provisional vote of approval.

    Suggest one improvement would be to make these functions available when a single conversation is checked (Selected) in the Gmail list WITHOUT having to actually open the file. This would make updating all related actions etc. much more convenient.

    I have to say that what surprised me about the Firefox add-on “GTD for Gmail” was that it had some features that made me think maybe the developers had understood quite a lot about ABC. For example, they had designed it so that you could have number of horizontal buttons you could set up for “Status”, and which were dynamically mutually exclusive. Thus, when you clicked (say) “ToDo” for a task/item, and later clicked WIP (meaning you had started working on the thing), then “ToDo” was automatically “unpressed”.

    However, for reasons that escape me, the developers seem to have just ruined the possibility for doing that with their latest changes because these buttons are now not mutually exclusive and have been buried in drop-down menus to boot. Very tiresome. It would seem to be incorrect to call these latest changes “an improvement”.

    You can still re-instate the old Status buttons – just see in the post about “Classic Horizontal Action Bar”.

    And we are working on a solution that balances out the desire for highly visible buttons with the new slicker UI… we hear you and want to make ammends :)

    Phew! Many thanks for setting me straight in your reply to my earlier moan.
    Following your suggestion, I have now restored the “Classic Horizontal Action Bar”, using the Preferences in the GTD dropdown box (took me a while to find it).
    I also saw that there was an option in the Preferences to disable the “allow multiple statuses”. I have done that, so that the Status buttons are, once again, mutually exclusive (they seem to be not, by default).

    By the way, I prefer the “Classic Horizontal Action Bar” because it is ergonomically far superior to having the statuses buried in drop-down folder. It enables easy view and change of ABC (ABC prioritising).
    Having made these changes, I shall now test drive the Active Inbox and give some feedback.

    Before the day overtakes me I just want to give you this feedback. I have been using GTD inbox for the last 6 months. Despite the odd hiccup it has been an awesome tool in helping me manage so much stuff. This months updates have built on that in such a constructive way. Your application and the sage advice in the blog entries have inspired me to understand more about the whole GTD philosophy. That this is all for free is incredible and until the day I upgrade to Pro, I at least want to give my sincere gratitude and appreciation to your whole team. You rock!

    I am very impressed with this new version and have re-installed it in Chrome. If I am satisfied with the organizational capabilities and comfortable with the schedule functionality, I will subscribe to Pro. This may cause me to give up Remember the Milk, which would be nice because I wouldn’t have to go to different sites!

    Any application for emailing websites to myself so that I can act on them?

    i HATE the new status menu. I have reverted to the “Classic Horizontal Action Bar in Conversations”. the buttons provide quick access to #1 see what the current status is, and #2 change this with ONE click.
    The dropdown for files is fine, but for status buttons it is important that this quick to see and change.

    Hmm. this is frustrating – I want to have the classic buttons – but then new category dropdown. Enabling the classic menu causes a double up and it has now become really messy.

    Love the new release. The only frustration (actually, pretty big one) is that Active Inbox does not load each time I open Gmail – in fact, it sometimes disappears when I click away and then make my Gmail window active. I then have to refresh the page several times before it comes back up. Still, I am willing to stick with it, because the benefits outweigh the pain.
    Thanks for making this time-saver available.
